How time records fit together
Understand captured minutes, activity items, activities, and daily timesheets.
Timeglass presents recorded work at four connected levels: captured minutes, activity items, activities, and daily timesheets.
Captured minutes record time
Captured minutes are the smallest units of time in the work record. You usually will not need to review them one by one. They support the start times and durations shown at the more useful activity-item and activity levels.
Activity items show specific stretches of work
An activity item is a continuous stretch spent on the same task. It has a start time, duration, work description, and supporting details such as the applications used.
Activities bring related items together
An activity combines related items into one piece of work that is easier to review. In the example above, the two proposal items can appear as one activity called “Drafted the Acme proposal,” even though another task happened between them.
Exports label this column Activity group. It means the same kind of record as an activity. Each activity has a description, reported time, and review status, plus a client, project, and category when they are assigned.
If Timeglass grouped too much or too little into one activity, you can split it or merge it with another. You can also add an activity by hand for work that was not captured, such as an in-person meeting.
Timesheets collect one member’s day
A timesheet is the daily view of a member’s activities. It shows the day’s total and groups activities into sections by where they are in review.
- Not ready for review: recent work Timeglass is still preparing. It is not part of any activity yet.
- Not submitted: activities that are ready but that the member has not submitted.
- Submitted: activities the member has submitted. When the workspace does not ask members to submit, this section is called Tracked.
- Reviewed: activities a manager has approved. The section names the reviewer and date.
- Updated since review: activities that changed after a manager reviewed them.
- Hidden: off-task and hidden activities. They are left out of timesheet and report totals.
Workspace settings control when a submitted day becomes visible to other people and whether manager approval is required. To see how the day’s total is calculated, read How timesheet totals are calculated.
