How your Timeglass records fit together

A simple guide to the people, work, and time records in Timeglass.

Everything in Timeglass belongs to a workspace. The workspace contains your people, teams, clients, projects, and time records.

People and teams

Each person joins a workspace as a member. Their role controls what they can do, and their home team controls where they normally appear in team views. Larger workspaces can also group teams by department or region.

Team placement and access are separate. For example, a finance manager can belong to the Finance team and also have permission to review another team’s timesheets.

Clients, projects, and tasks

Clients group work by customer or account. A client can have several projects, and a project can have optional tasks for separate stages or deliverables.

An activity can be assigned to a project or directly to a client. Work can also stay uncategorized until someone assigns it during review.

Activities and timesheets

An activity is a reviewable piece of work, such as “Prepared the Acme renewal proposal.” Exports label this column Activity group. The two terms refer to the same kind of record.

An activity can contain several activity items. Each item covers a specific stretch of work with its own time and supporting details. Related items from different parts of the day can belong to one activity. You can split an activity or merge two of them when the grouping is off.

Captured minutes are the smallest units of recorded time. They support the durations shown on activity items and activities. A manually added activity can also have a duration without captured items.

A timesheet brings one member’s activities together for a day. The member can check descriptions, assignments, and durations before submitting the day.

Activity categories

An activity category describes the type of work, such as client communication, research, design, or administration. It sits alongside the client or project assignment and can be used across many projects.

Reports

Reports summarize activity by date, person, team, client, project, or category. They use the same work records shown on timesheets, so a reviewed change can also change reported totals.
