Permissions

Data Management permissions

Control who can edit time, activity, projects, and team records.

Data Management controls who can change records after they can see them. Find it under Settings → Security.

Manage Team Data

Choose Admins + Managers (Managed Teams), or add team members for their own team with Admins + Managers (Managed Teams) + Team Members (Own Team Only).

Manage Projects

Choose who can create, edit, complete, reopen, and delete projects: Admins + Managers or Admins + Managers + Team Members.

Workspace-wide Projects

Choose who can create projects shared with every team. Admins Only is the default. With Everyone who manages projects, any project created by someone allowed by Manage Projects is shared with every team automatically. Admins can still choose to keep a new project on one team.

Manage Own Personal Data

Turn this on when people should be able to fix their own time and activity. This includes changing minutes, reassigning a project, adding untracked work, hiding off-task time, and categorizing activity.

Organization Management

The section above Data Management separately controls Manage Users (invite and remove users) and Manage Teams (manage teams and assign users). Each can be set to Admins Only or Admins + Managers (Managed Teams).

Common questions

Does Manage Own Personal Data mean profile details?

No. In this setting, personal data means the user's own time and activity data.

Can someone release time without editing it?

Yes. Release and edit permissions are separate.

Can members create projects for every team?

Only if an admin sets Workspace-wide Projects to Everyone who manages projects under Settings → Security → Data Management. Projects they create are then shared with every team automatically. The default is Admins Only.

Can managers invite people?

Yes, for the teams they manage, when Manage Users under Organization Management is set to Admins + Managers (Managed Teams).
