Settings & admin

Roles and data access

Roles, team scope, cross-team visibility, and editing controls.

Roles set each person’s normal responsibilities. Team access and workspace security settings refine what they can see and change.

The roles

  • Owner: the person who created the workspace. They show as Workspace Admin in the members list, and their name and access are fixed.
  • Workspace Admin: manages workspace settings, people, all teams, and billing.
  • Manager: granted per team, department, or the whole workspace. Reviews and approves that team’s time and manages its work, subject to workspace settings.
  • Member: records, reviews, and releases their own time.
  • Viewer: read-only access to the teams they’re given, without recording time.

Change someone’s access

Open Settings → Members and select the person. In their Member profile, switch on Workspace Admin for full administration, or use Add Access to give them Viewer or Manager access to another team. Admins can also grant access to a department, or to All teams under Whole Workspace. Select Save changes to apply.

Viewers can only be given Viewer access, and the Workspace Admin switch is hidden for them. To make a viewer a manager or admin, convert them to a team member first.

Data Access

Under Settings → Security → Data Access, set the workspace baseline for cross-team visibility. Meeting content and the Timeline have their own access rules on the same page.

Editing and organization controls

Organization Management controls who can manage users and teams. Data Management controls team data, projects, workspace-wide projects, and personal data edits.

Timesheet access

Under Settings → General, the Timesheets section sets who sees published timesheets, when publishing happens, and whether manager review is required. The Timesheet Flags section below it sets what sends a timesheet to review.

Common questions

How do I make someone an admin?

Open their profile under Settings → Members, switch on Workspace Admin, and select Save changes. Only admins can do this. For a viewer, convert them to a team member first.

Do viewers record time?

No. Viewers have read-only access to the teams they’re given and don’t record time.
