Data retention & deletion

Choose how long screenshots are kept before they are deleted.

Set how long Timeglass keeps screenshots before deleting them. Summaries, timesheets, and activity data are never deleted by this setting.

  1. Open Security settings
    Go to Settings → Security and scroll to Data Retention.
  2. Choose a period
    Under Keep screenshots for, choose None, 30 days, 90 days, 6 mo, 1 yr, or Forever. The highlighted choice is your workspace’s current setting.
  3. Check the notice
    The line under the choices says when screenshots taken today will be deleted. With None, screenshots are deleted right after processing. With Forever, they are never deleted.
  4. Confirm a shorter period
    Your choice saves as soon as you pick it. If the new period is shorter, Timeglass first asks you to confirm, because older screenshots are deleted right away. Select Delete and save to continue.

What retention doesn’t cover

Retention applies only to screenshots in Timeglass’s own storage. Meeting recordings, transcripts, and reports stay until someone deletes the meeting. AI providers that analyze screenshots may keep what they receive for a time under their own terms, whatever your retention setting. The Sub-processors page lists each provider.

Screenshots on members’ computers

Screenshots are removed from a member’s computer once they upload. If the desktop app can’t upload, for example because it is offline or signed out, captured data waits on the computer. Data that can’t upload may be deleted from the computer without being uploaded after 7 days, or sooner if the backlog takes up too much space.

Common questions

How long are screenshots kept?

As long as your workspace’s Data Retention setting: None, 30 days, 90 days, 6 months, 1 year, or Forever. Workspace owners and admins can see and change it under Settings → Security.

Does retention apply to meeting recordings?

No. It only covers screenshots. Meeting recordings, transcripts, and reports stay until someone deletes the meeting.

Does retention delete timesheets or activity data?

No. It only deletes screenshots. Summaries, timesheets, and activity data are never deleted by this setting.

What happens if I shorten the retention period?

Timeglass asks you to confirm first, because screenshots older than the new period are deleted right away. This can’t be undone.
